How Specialized Protection Solutions handles personal information, in line with the Protection of Personal Information Act, 2013 (POPIA).
Who we are
Specialized Protection Solutions (SPS), Gauteng, South Africa. Information Officer and contact person: Dawid Booysen. Contact: [email protected].
Enquiries
When you use the enquiry form we receive what you enter: your name, organisation, email address, telephone or WhatsApp number, country or city, the service you need, approximate dates, destination or operating area, and your message. We use it only to respond to your enquiry and, if you become a client, to provide the services you request. We do not sell personal information, and we do not add enquirers to marketing lists without consent. This website does not use advertising or analytics cookies and does not track visitors across other websites.
Close protection officer applicants
If you apply through the SPS careers portal, we process the information and documents you provide for recruitment, vetting, verification and, if you join the SPS officer pool, for matching you to suitable work. This includes identity and contact details, photographs, PSIRA and firearm-competency records, qualifications, service and work history, references, languages, availability, home address and emergency location, and assessment results. Assessment results include physical performance reviews and testing, fitness evaluations, shooting evaluations, driving assessments and medical assessments.
Special personal information. The application asks about criminal records and pending cases, and medical fitness for protective work. POPIA treats this as special personal information. We process it only with your express consent, which you give separately inside the portal and can withdraw at any time, and only to decide whether you can be deployed safely and lawfully. Medical and vetting information is restricted to named SPS management and is never shared with clients.
Home address and emergency location. We ask for your residential address and an exact map pin (you drop it yourself, or share your phone's location once, only when you tap the button). Officers who are deployed may take company firearms home, so SPS must be able to send armed response or emergency medical services to you quickly, and must know where company firearms are kept. We use this information only for emergency response, firearm safekeeping and your safety during deployments. It is restricted to named SPS management; every time someone opens it, this is logged. We share the pin only with the responder being sent to help. Your address is never sent to a mapping or geocoding service; the map pictures come from Esri and OpenStreetMap. While you are deployed, SPS may also record the location of the task (for example the hotel or site), and this is cleared when the deployment ends.
Officers SPS loads directly. For officers already employed or contracted by SPS, authorised SPS management may load your profile and documents on your behalf, based on your employment or contract with SPS and the consent held on your file. The basis and date are recorded on your profile. You can claim the profile later with your email address to check, correct and keep it up to date.
References. By naming referees you confirm that they have agreed to be contacted.
Where it is stored. Portal data and documents are stored privately with Cloudflare, Inc., and sign-in codes are sent by email through a third-party email provider. These providers may process or store information outside South Africa, including in Europe and the United States. We use them under contractual data-protection terms, and by submitting an application you consent to this transfer as POPIA section 72 permits.
How long we keep it. An application that is started but never submitted is deleted after 6 months without activity. If your application is declined, your record and documents are deleted 24 months after that decision. If you are in the SPS officer pool, we keep your record while you remain in it and for as long as applicable law and regulation require. You can withdraw your application and delete your record from inside the portal at any time. A minimal record of the consents you gave or withdrew is kept as proof of lawful processing.
Your control. You can view, correct and download your information from the portal at any time. Some fields are locked once SPS has verified them; ask us if one needs correcting.
Client and operational information
Where SPS is engaged, we necessarily hold information that is sensitive, including details about people, premises and movements. That information is held only for as long as it is needed for the engagement and applicable legal and regulatory retention periods, is accessible only to personnel who require it, and is subject to confidentiality obligations.
Sharing
We share personal information only where it is necessary to deliver the service you have requested, where you have consented, or where we are required to do so by law or by a regulator such as PSIRA or the South African Police Service.
Your rights
Under POPIA you may request access to the personal information we hold about you, ask us to correct or delete it, object to processing, and lodge a complaint with the Information Regulator of South Africa. Write to [email protected].
